Clock Rules

 

This function allows a Company Administrator to create device groups and specify shift schedules for using the devices in time and attendance transactions (Create Groups tab).

 

Note

Punches before or after the times specified will not be accepted by the clock unless the Company Administrator has specified Allowed and Grace rules in Global>Range Setup.

Once a group and related schedule are created, the Company Administrator may assign employees to that group (Assign Group Employees tab).

Create Groups

In this tab you can create a new Group and/or related schedule.  For reference, a list of current Groups and related schedules may be selected from the drop-down box.

 

 When an existing Group is selected, the related Schedule (Start Time, End Time, Days of the week) is also displayed

.

 

Create A New Group

1. Click  to display the Create Group window.

 

2. Enter a Name for the new Group in the related text box, then click .

 

3. The system will display an appropriate message.

Click  to close the window. The new Group will be added to the drop-down list.

Note

A new group is considered to be "unlocked"; i.e.,  it may be assigned to any device .

 

Click  to create a shift schedule for the selected Group.

 

5. Enter the Start and End times that the device may be used for Clock-in transactions by the Group.

 

6. Select  each day of the week that the new Rule will be in effect.

7. Click .

 

Note

You may create more than one shift schedule (Start and End times as well as days of the week) for a Group.

Click  to create an additional shift schedule for the selected Group and make your selections as described above.

Note

Hand Punch model devices can only have a maximum of three clock rule entries. Additional entries are ignored.

 

To delete a group’s schedule, click in the desired row to highlight it and click .

 

Delete A Group

1. Select the desired Group from the drop-down box.  

2. Click  .

Assign Group Employees

This function assigns individual employees (linked to a particular device in Employee Management) to one of the available Groups.

1. Select the Assign Group Employees tab.

2. Select the desired Group from the Select Group drop-down box.

3. You may select currently unassigned employees from all divisions or only those from a particular Division from the Select Division drop-down box.

4. The employees available for assignment are displayed in the list of Unassigned Employees. Select the employee(s) to be assigned to the Group.

5. Click to move your selection(s) to the Assigned Employee list.  To move all employees at once, click .

 

Note

Before or after assigning an employee to a group, you may view the employee’s other current assignments, if any, by clicking on the employee’s name.  The system will display rules and devices on the right side of the page.  

 

Click to expand the entries for details of the employee’s current assignments, if any.

 

 

Once employees are moved to the Assigned Employees list, reverse arrows are enabled.  

 

To return an Employee to the unassigned list, highlight (click on) the Employee and click .

 

To return all employees to the Unassigned Employees list at the same time, click .

 Assign Group Devices

This functions assigns a Clock Rules Group of employees to one of the available data collection devices.

 

1. Select the Assign Group Devices tab.

 

2. Select the desired Group from the Select Group drop-down box.

 

3. Select the desired Division from the Select Division drop-down box.

 

4. The devices available for assignment are displayed in the list of Available Devices. Select the Device(s) to be assigned to the Group.

 

5. Click  to move your selection(s) to the Assigned Device list.  To move all devices at once, click .

 

 

Once devices are moved to the Assigned Devices list, reverse arrows are enabled.  To return a Device to the available list, highlight (click on) the Device and click .

 

To return all devices to the Available Devices list at the same time, click .

 

Locked and Unlocked Rules

Newly created groups are "unlocked" – no device is yet assigned to them.  When you assign a device (Normal or Master) to a new group, the group becomes "locked" to that Device Type. If you assigned a Normal device, only Normal devices are displayed in the Available Devices list.  Likewise, if you assigned a Master device, only Master devices are displayed (and assignable) in the Available Devices list for the schedule.
